Project Information

From Excel Schedules to Structured Project Information

Excel is not the problem. Spreadsheets built as documents instead of data are. Four habits turn a schedule into information the next stage can use.

Most design-stage information lives in spreadsheets: door schedules, finish schedules, area tables, quantity sheets. Excel is flexible, familiar and usually the right tool. The trouble starts when each spreadsheet is built as a one-off document, formatted for printing, rather than as structured data that can be checked, combined and reused.

1. One row, one item. Merged cells, subtotals inside the list and notes typed into data columns make a sheet easy to print and hard to use. Keep each row as a single item and put totals and notes elsewhere.

2. One column, one kind of value. A "size" column holding "600x600", "600 x 1200 mm" and "TBC" cannot be filtered or checked. Split dimensions, units and status into their own columns, and use consistent values.

3. Shared codes across sheets. When the room schedule, finish schedule and quantity sheet all use the same room codes and material codes, they can be linked. When each uses its own naming, every cross-check is manual.

4. A clear source and date. Every schedule should say which drawing revision or model version it reflects. Without it, two correct spreadsheets can disagree and no one can tell which is current.

These habits cost little to adopt and change what the information can do. Structured schedules can be compared against the model, combined into a single project dataset and, where it helps, presented in Power BI so the team sees quantities, materials and status in one place.

The tool matters less than the structure. A well-built spreadsheet is already structured project information; a dashboard simply makes it easier to read.
